Apollo

Apollo is a web application that hosts 100s of millions of verified records that we have the ability to enrich and use within our credit limits. It is extremely important to not use this tool if you are not 100% of understanding of how it works as there are fundamental flaws in their software that will allow you to waste a bunch of credits.

Searching for a List

In apollo you want to specify the parameters for what you are looking for, and then add them to a list. You can also enrich the mobile numbers at this point. After clicking entich, please wait at least 15 minutes for it to fully complete. Once completed, you can export the file. The export settings have already preset on our company account for what is relevant for what we need.

Getting the list prepared for cold calling (CloudTalk)

Now that we have a list of data of prospects, we need to prepare it for the cold calling software that we use which is Cloud Talk. The steps required to do this are the following:

  • Open the Downloaded List from Apollo in Excel
  • Download Cloudtalk Template in Excel

  • The first and second name are seperate on the Apollo file, so we will need to Join them, go ahead and click on the column to the right of Last Name, and hit "Insert" Inside of the 2nd row of the new column, create a function and type =TEXTJOIN(" ", , A3,B3) You should now see the first and last name joined in the same row, you can now flash fill the remaining document by dragging the bottom right of the box all the way down the column.
  • The phone number also has an unessary ' in the beginning so we will need to append and remove it from every number. The column to the right of the phone number, hit "Insert" and in this new empty column create a function and type =REPLACE(G2, 1, 1, ""). You should now see the updated phone number without the extra ' in the beginning. You can now flash fill the remaining document by dragging the bottom right of the box all the way down the column.
  • Copy the remaining columns fo data into the Cloud Talk Template, and save the file as something relevant to this data list, and put it in the Thrasker Sales Data Shared Drive.

Upload a List in Cloudtalk

  • Login to your Admin Account on Cloudtalk
  • Click on Account on the bottom left
  • Click on Integrations in the menu on the bottom left
  • Click on "CSV Import" and hit add
  • Upload the file that you prepared above.
  • Make sure that the Default Country Cdoe is +1 (United States)
  • Make a contacts tag with no spaces or special characters e.g FLSMBList1

Create a Campaign in Cloudtalk

  • Login to your Admin Account on Cloudtalk
  • Click on Dialer in the Menu on the left
  • Click on Campaigns in the dropdown under Dialer
  • Click Add Campaign on the top right
  • Title the Campaign the name of the list with the date
  • In the select contacts by tags choose the tag that you created from uploading the list.
  • Change the hours between attempts to 100
  • Click "On" for the automaticall dial next contact after a call ends on/off
  • Change the After Call time (in seconds) to 1
  • Click "On" for calls recording
  • Click Assign groups and choose "agents"
  • Scroll back up to the top and click on Advanced Settings, update the table to match the table below, after click add campaign
